Executive Assistant (Hybrid)

Location: Lansdale, PA

*This is a hybrid position requiring 3-4 days a week on site most weeks. Please do not apply unless you are local to our office in Lansdale, PA and able and willing to work on site.*

The Opportunity:

The Executive Assistant provides administrative support for the executive team that includes the CEO, along with the rest of the Executive team (6 total), to ensure they can efficiently accomplish key tasks and company initiatives. This position keeps the executive communication organized so that they can easily access the most important information without having to sort through low-priority items. This person serves as a liaison between executive leaders and external and internal stakeholders where necessary.

Your Impact:

  • Manage calendar including scheduling meetings, conferences, meeting space and appointments while constantly monitoring availability and prioritizing commitments to ensure optimal use of time and smooth day-to-day operations

  • Prepare leader(s) for meetings by creating, gathering, and/or organizing materials, identifying key questions to be prepared to answer and preparing reference material in an effective manner.

  • Prepare and/or review reports and presentations which may require conducting research to add value to material and/or gathering and summarizing information and/or data

  • Prepare, organize, and maintain correspondence, memorandums, and documents, which may be confidential in nature for executives to review and approve

  • Make phone calls, write emails, and relay messages to internal and external stake holders

  • Attend meetings to take notes and/or set up electronic note taking, capture timeline and strategies, coordinate progress updates and follow-up on action items

  • Enter and manage cases in the company’s ticketing systems (IT, HR, Data) on behalf of the exec team

  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner

  • Book travel arrangements, process and reconcile expense reports and invoices for payment in a timely manner and in compliance with company expense policies

  • Plan, coordinate, and execute special events and/or projects as needed such as leadership retreats, meetings with internal and external stakeholders

  • Work with other members of the support teams where necessary to successfully accomplish project goals

  • Support Sales & Product Development Executives in planning HQ visits for key customers and suppliers

What you bring:

  • 5+ years of Executive Assistant level experience in small to mid-size private company with experience supporting several executives, experience as a company’s first executive assistant would be a plus.

  • Microsoft Office experience with Word, Excel, PowerPoint, and Teams specifically

  • Travel planning experience including booking of flights, hotels, conferences, etc.

  • Track record of being a self-starter and strong independent contributor

  • Valid PA driver’s license with good driving record

  • Demonstrated ability to manage priorities and requirements

  • Strong interpersonal skills, integrity, teamwork, energy and flexibility

  • Strong project reporting skills, with a focus on interdepartmental communication

  • Excellent verbal and written communication skills

  • Open minimal travel by car for local vendors, event venues, etc. required (less than 10%)
